1. BEFORE CHECK OUT TIME.

 

TENANT RESPONSIBILITY.

INSTRUCTIONS FOR MOVE OUT PREPARATION.
1. Review key return day expectations at august.ink/transition.
2. Respond to 18 question move out checklist form at bottom of this page.
3. This checklist is intended to prepare the tenant and owner for the issues that most often come up during the move out process.

CHECKLIST QUESIONS 1-2 FOR IDENTIFICATION.

QUESTION 1. IDENTIFY PROPERTY AND TENANT.
1. Notice to change or end lease must be in writing.
2. Identifying property and person making request is important.
3. In case the tenant provides notice by some method other than email, such as phone or text message, than the owner or agent will email the tenant to confirm the notice and complete this form.

QUESTION 2. COMMUNICATES REASON FOR MOVE.
1. Provide reason for move in case there is an option to avoid the move.
2. In case there is an issue prompting the move that could be resolved by the owner such as making an upgrade to the property or adjustment to rent.

CHECKLIST QUESTIONS 3-6 FOR SCHEDULING.

QUESTION 3. LAST DAY OF LEASE.
1. The last day of the lease is the day the tenant will return keys to owner.
2. The last day of the lease possible without penalty depends on the lease.
3. Typically 30-60 notice is required.
4. Typically it is required that the minimum 1-2 year lease period is over.

QUESTION 4. PAYING RENT AND UTILITIES IN FULL.
1. Tenant must pay rent and utilities as normal until the last day of the lease.
2. Rent must be paid in full and on time through the last day of the lease.
3. Partial months of rent will = monthly rent / days in month x days to stay.
4. The security deposit is not to cover the last months rent so if the rent is unpaid it is a lease violation.
5. Utilities contracted by tenant must be kept on until last day of lease.

QUESTION 5. EARLY MOVE OUT.
1. Early move out if tenant is ready to return property before last lease day.
2. This does not mean the last day of lease will change.
3. The owner will advertise the earlier day and try to fill the vacancy early.
4. Vacancy filled before last lease day can result in credit to outgoing tenant.

QUESTION 6. SHOWING PROPERTY.
1. Tenant should provide preferred days and hours for showing the property. 2. Owner or helper will attempt to schedule around these days and hours.
3. Preferred days and hours can not be guarantee.
4. Ultimately the owner or agent will provide minimum 24 hours notice.
5. On occasion the owner or agent may ask to do last minute showings.
6. Last minute showings are up to the tenants discretion.
7. Tenants do not need to be present for visits but are welcome to be.

CHECKLIST QUESTIONS 7-9 FOR INCOMING TENANTS.

QUESTION 7. KEYS, REMOTES AND CODES.
1. Tenant should indicate to the owner what keys or remotes they will return.
2. Tenant should indicate codes they know for padlocks, doors or lockboxes.

QUESTION 8. UTILITIES.
1. Tenant should inform owner of monthly cost for utilities they contracted.
2. This information is often asked by incoming tenants.

QUESTION 9. APPLIANCE, PORTABLE AC AND HEATERS.
1. Tenant should check function of appliances, AC and heat units.
2. Tenant should tell the owner they all work and the quantity being in home. 3. Existing appliance are passed from one tenant to the next but repairs on these items are not covered by the owner.
4. If the tenant notified the owner in advance that an appliance that they received with the house is not working than the owner may tell incoming tenants about this so they know they must provide their own appliance. If the outgoing tenant does not tell the owner anything about the appliance condition than incoming tenants will expect the existing appliance to be functioning correctly and if they are not functioning than the outgoing tenant may be held responsible for the repair or replacement.

CHECKLIST QUESTIONS 10-12 FOR PROPERTY CONDITION.

QUESTION 10. BUILDING CONDITION.
1. Tenant should tell the owner if there are any items with the building that will not show well that could be addressed before showing the flat. These may be items that are either the tenants or the owners responsibility to address. For items that may be the owners responsibility to address it is helpful for the owner to know about the items so they may address them immediately. For items that are the tenants responsibility it is kindly asked that they address them immediately. If for some reason the tenant is not able to address the issue immediately then they should tell the owner a timeline and plan to address the issue before moving out. In the worst case if the tenant does not plan to address some issue before moving out it will help the owner to be aware of these things so that they may explain them to perspective applicants in advance of visits and worst case be prepared to address the items themselves immediately or at the time of receiving the keys back from the tenant.
2. Tenant should notify the owner with as much notice as possible of any items in the building condition that will not be returned to the owner in the same condition or better than it was received by the exiting tenant.

QUESIONT 11. LANDSCAPE CONDITION.
1. Tenant should notify the landlord on the condition of the landscape.

QUESTION 12. PRE-MOVE OUT INSPECTION
1. Owner or helper will take complete property photos and fill condition form.
2. This is to verify the condition of the property before move out.
3. Inspection will most likely be done at the time of the first property tour.
4. Photos will be taken to document building interior, exterior and landscape.
5. Owner or helper will document landscape of adjacent properties as well.
6. Owner will email copy of condition form and relevant photos to tenant.
7. Owner will indicate which issues are tenants responsibility to fix.
8. The intent is to have maximum time to address issues before move out.
9. Tenant will be notified of repairs or maintenance they are responsible for.
10. Tenant should immediately address any items that are there responsibility to restore the house to the same condition or better than it was delivered to the outgoing tenant.
11. Owner will do repairs or perform maintenance they are responsible for.

CHECKLIST QUESTIONS 13-16 FOR FINAL DAY KEY RETURN.

QUESTION 13 PATCHING AND PAINTING.
1. This is for art hooks, nails, window coverings, security systems, etc.
2. Tenant must confirm they will remove, patch and paint as necessary.

QUESTION 14. CLEANLINESS.
1. Tenant should confirm that they will be hiring a cleaner or thoroughly cleaning the house themselves before the specified final inspection and key return meeting.
2. Tenant is kindly requested to keep the house clean and looking its best as possible during your last month so that it may show well. This may be especially difficult when moving but any help with this is greatly appreciated by the owner.

QUESTION 15. TRASH.
1. Tenant should confirm that they will remove all their furniture from the property and contact the city for any large item pick up or extra trash hauling that is needed. Tenants should also confirm that they will continue to put out and take in the trash bins up until the end of their lease so that the new tenants do not receive overly full trash bins or missing trash bins.

QUESTION 16. KEY RETURN MEETING.
1. Time is typically at noon on the last day of the lease.
2. The meeting should only take place when the tenants are completely ready including furniture moved out, trash hauled, walls restored and cleaning complete.
3. Tenants should be moved out and the property, both building and landscape, restored to the condition it was provided to them.

CHECKLIST QUESTIONS 17-18.

QUESTION 17. SECURITY SPLIT AND ZELLE INFO.
1. Tenant should specify who should receive any security deposit return, or in what way it should be split as a percentage between tenants, and provide the phone number or email address that each of those tenants has linked by Zelle.

QUESTION 18. FORWARDING ADDRESSES.
1. Tenant must provide a forwarding address and confirm current phone number in case Zelle does not work for returning the deposit and a check must me sent in the mail.

 

OWNER OR HELPER RESPONSIBILITY.

PRE-MOVE OUT INSPECTION.
1. Complete Total Photos.
2. Complete Form for Condition Detailed.
3. Complete Form for Condition Landscape.
4. No not need to complete Form for Condition Basics.

 


2. AT CHECK OUT TIME.

TENANT RESPONSIBILITY.

1. No later than noon on last day of lease.
2. Property is in the same condition or better than it was received.
3. Cleaning, maintenance and landscape care are complete.
4. Property is ready for incoming new tenants to move directly into property.
5. Tenant does not necessarily need to meet owner or helper for key return.
6. Lock all doors and property gates except one that may be needed to exit.
7. Leave the keys in the kitchen drawer as specified in photo guide.


3. AFTER CHECK OUT TIME.

OWNER OR HELPER RESPONSIBILITY.

IMMEDIATELY WHEN CHECKING PROPERTY.
1. Complete Total Photos.
2. Form for Condition Basics.
3. Form for Condition Detailed.
4. Form for Condition Landscape.

AFTER CHECKING PROPERTY.
1. Fix any deficiencies in maintenance, painting, cleaning or landscape.
2. These will need to be small issues that can be addressed in the amount of time you might have before the new tenant moves in.
3. Take new photos after any changes made.
4. If incoming tenant key pick up is at the same time then follow the incoming tenant key pick up instructions.
5. If incoming tenant key pick up is at a later time then leave tenant keys in specified location and lock property when leaving, using lockbox keys.
